Personnel Policy Manual for Support Staff
SUBJECT: CONFIDENTIAL RECORDS POLICY STATEMENT
POLICY STATEMENT:
Maintaining confidentiality of employee and student records is imperative for the College to continue as a viable community operation. All employees are expected to maintain the security of confidential information.
IMPLEMENTATION:
1. Personnel Records: a. Employees are permitted to inspect personnel documents that directly impact their individual employment status, except those that have been specifically excluded (i.e. reference letters). b. Employees are responsible for advising the Director of Personnel of errors in their records; the Director of Personnel will make the proper adjustments as appropriate. c. Information open for inspection will be strictly controlled by the Director of Personnel. d. Security records, insurance records, medical information, and conviction records will be maintained by the Director of Personnel and used only when specifically required. e. Upon request, employees will be informed on how information will be put to use and who will be contacted to verify the information. f. Employees should be able to examine, copy, submit requested corrections, and dispute records. 2. Student Records: a. Student records are not to be discussed with persons who do not have specific authority, and violation will be grounds for immediate dismissal.
